We’re so excited to have you at the 2025 Winter Walk. This guide has everything you need to prepare for the event, from logistics to safety to setup tips. It’s friendly, skimmable, and easy to follow.

BOOTH DETAILS
Booth Space Size: 10’x10’
Booth includes tent and lighting. No tables, chairs, or electricity are available
Stay inside your assigned footprint
No sharing or subleasing booths
Displays should be sturdy, fire-safe, and respectful to our diverse audience
Booth assignments will be emailed the day before the market
CANCELLATION POLICY
If WCC cancels (weather/safety): no refunds or credits
If you cancel: no refunds or credits
CHANGING AREAS & DRESSING ROOMS
There are no public dressing rooms available at the event. If you need a private space for customers to try things on, please plan to incorporate a small changing area within your booth setup.
CHARGING STATION
There will be a charging station for devices at the information booth, to be used in case of emergencies only.
CHECKLIST FOR SHOW DAY
CA Seller’s Permit
Fire retardancy certifications (if applicable)
Tables, linens, displays
Trash bag + small bin
Toolkit: hammer, zip ties, tape, scissors
Payment reader, phone/tablet, charger, battery pack
Water, snacks, self-care kit
Broom and dustpan
Mirror and changing area setup (if applicable)
CLEAN-UP: Leave No Trace
Please leave your booth ‘broom ready’, clean, clear, and just as you found it
No dumpsters available; pack out everything
$250 fine for trash or items left behind
There will be a dedicated cleaning ambassador on site who can be called in case of cleaning
issues during the event
DAMAGES
Vendors are responsible for any damage to the venue or equipment. Please be respectful of the space.
ELECTRICITY
No electricity available
No generators allowed
Battery packs encouraged
EMERGENCY
In an emergency, call 911 and inform the on-site coordinator immediately. Security and staff will manage crowd control and clear paths for emergency vehicles as needed.
FIRE SAFETY
All tents and booth structures should be flame-retardant or non-combustible
Bring flame treatment documentation if applicable
Please do not bring open flames like candles or incense
Cooking must be pre-approved and include a 2A10BC fire extinguisher
Keep all storage neatly within your booth footprint

By participating, you voluntarily assume all risks related to exposure to COVID-19. WCC cannot guarantee safety from exposure.

No WiFi is provided
Bring a hotspot
Public Xfinity Wi-Fi is available (Xfinity customers only).
Solis Hotspot has worked well for some vendors: Solis Hotspot on Amazon
LIGHTING
Basic venue lighting is provided, but we recommend bringing your own for better visibility:
LOAD-IN & LOAD-OUT: How It Works
Load-In: 6:00–10:00am
Access location:
• Post–Geary Block: Enter via Post Street, exit via Geary Street
• Geary–O’Farrell Block: Enter via O’Farrell Street, exit via Geary Street
Security will have your name on the access list and move barricades during these windows
You will be able to unload directly next to your booth. Please bring a dolly or hand truck for load-out
All vehicles must be off-site by 10:30am
Load-Out: Begins 30 minutes after closing
Unlike load-in, you will not be able to pull in directly next to your booth space. However, there will be a loading area just around the corner on Geary St. Be sure to bring a cart or hand truck to help bring your things from your booth space to your vehicle
PARKING
Parking garage is located underneath the Union Square Plaza. You can enter on Post or Geary.
Comped parking TBD.
PERMITS (Required!)
All vendors must bring a CA Seller’s Permit
Out-of-state vendors must register for a temporary permit here.

RESTROOMS
Macy’s Entrance on O’Farrell St. Men’s & Women’s bathrooms on floor 3rd floor and basement near Wetzel Pretzel.
SECURITY
24/7 on-site security is provided
Vendors are strongly encouraged to remove all merchandise and valuables daily
Security will monitor structures, décor, and turf, but cannot guarantee against theft
SHOW HOURS
Monday – Wednesday: 11:00am – 7:00pm
Thursday – Sunday: 11:00am – 9:00pm
Must be show-ready by 10:30am
Booths must stay open for the full duration, no early departures
